SAP ERP covers the following categories of processes, detailed based on resource types:
Financial resources:
The Financial Accounting (legal accounting requirements, general ledger, journals, balance sheet, trail balance, other reports). In the SAP solution, this module can work with domain-specific chart of accounts (commercial or public sector) respecting the rules of the sector. SAP allows simultaneous tracking of special activities (excluding tax, VAT, etc.) and regular commercial activities.
Assets Accounting in financial terms, depreciation by different methods, acquisition, transfer, retirement, assets under construction, reevaluation.
Controlling – control the organizational value chain (cost center, profit center, orders, projects, management reports)
Fund Management, mainly used in public sector industry, involves tracking the proper budget-related activities (budget planning and approval, budget execution) including the entire complexity of the specific legal issues.
Other components of interest that can be added to these modules are related to financial flows, including management of data exchange with a bank card payment processor and a Portal component for internet payment.
Material Resources Management:
Materials management, procurement, with proper monitoring of contracts (suppliers, falling dues, commercial advantages, diverse details) and stocks (prices, consumption, depreciation, inventory, budgeting, planning and relevant special circumstances relating to materials, materials with special regime).
Sales management, whether goods or services, with customer tracking (contracts, specific commercial terms, falling dues, penalties, commercial benefits), occasional or regular pricing and billing, complex pricing plans. In the public sector, in this way, it can manage all operational duties (notices, approvals, authorizations, etc.).
Management of fixed assets or maintained assets, it may follow from a logistics standpoint, the cost and consumption of human resources for maintenance and repair of fixed assets and inventory items and other categories of maintained goods. The system can manage preventive and corrective maintenance operations, maintenance plans, assessments of specific inputs (ex. fleet), and even related planning and constituting new fixed assets or inventory items within the organization.
For complex operations that are spread over large periods or which involve external financing we can use the project management module – which completes classical processes offered by a project management solution with powerful features related to assignment of costs and human resources and the relevant analysis. In the public sector, this module provides benefits allowing proper management of projects funded from various budget funds, external funding or partially from internal funds to be accounted separately according to the law.
Human Capital Management
Personnel Administration – allows easy tracking of the entire cycle of personnel management, including hiring, organizational assignment and re-assignment, training and event planning, appraisals, career plans, tracking of posts and functions, identifying employees who meet certain professional criteria, leaving organization.
Payroll Management – seeks specific legal requirements for payroll calculation in all their complexity, including collective agreements, advances and liquidations, various factors, gratuities, allowances, days of vacation, allowances, bonuses, full time work schemes or part-time schedules, overtime arrangements, particular work. It can also obtain necessary reports (payroll reports, pay stubs, declarations reports for state institutions, income tax records). Particularly, in the public sector, although major software producers have not yet done specific adaptations to the complex and permanently changing system in Romania, Focality solves this problem by own configurations realized on the SAP platform, thus increasing the standard features offered by the German manufacturer. The value of the software solutions and the implementation partner is seen particularly in those situations where the requirements are special. Thus we can provide the solution for the complex situation in which employees receive income from multiple funds, managed by various funding projects, and these revenues should be computed and recorded separately with all the specific payroll components.
